How To Manage Your Operational Profile

Your service might either be operational for 48 weeks or 50 weeks a year. It might be closed during school holidays. To manage the operational period or mark the closure period, you can use the Xap operational profile feature.

This help document will demonstrate how to manage your operational profile, including any closures.

Step 1: Select settings from the left-hand menu bar.

Step 2: Click on the operational profile icon.

Step 3: Next locate the service for which you would like to view or update the operational profile. To view the current operational profile for a centre, click on the arrow that is on the left of the service's name.

Step 4: To make any changes to the existing operation profile, click on three dot menu as indicated in the image below.
You will have two options:
View: Click on this button to view the existing (current) operational profile.

Edit: Click on the edit button to edit the operational profile.

Step 5: Once you click on edit, you can make changes to the contact number, your service's email address as well as your website details.
If your service is a CCSS centre, these details are used when Xap sends the care and vacancy data to the CCSS system.

Step 6: To mark any closure period, click on the status option "temporary closed".
Enter the closed from date and closed to date.
You can also amend any existing bookings if required and set the effect of the closure period on any new permanent bookings or casual bookings.

Finally, click on the checkbox "update the operational/contact details in ccss" to send the amended details to ccss.
